Shandong Kerd Heavy Industry Machinery Co., Ltd. (“KERD”, “we”, “us”) respects your privacy. This policy explains what personal data we collect through kerdmachinery.com and through our dealings with customers, why we collect it, who we share it with, how long we keep it, and what choices you have. We act as the data controller for the data described here.
1. Information We Collect
Data you give us. When you send an inquiry, request a quotation, order a machine or spare parts, or simply contact us, we collect the details you choose to provide:
- identity and contact data — name, job title, company name, country and city, email address, telephone or WhatsApp number;
- business data — the models, quantities and specifications you ask about, your shipping port, import requirements, and any documents you attach;
- order and finance data — billing and company registration details, delivery address, contact of your forwarder, and payment references needed to issue invoices and receive payment (we do not store full card numbers);
- communication records — the emails, messages and call notes that pass between us.
Data collected automatically. When you browse the Site, our hosting and analytics tools may record your IP address, browser and device type, the pages and files you view, the time of your visit, and the site that referred you. This is used in aggregate to understand which products attract interest and to keep the Site working.
Data from other sources. If you contact us through a B2B platform, an exhibition list, a trade directory or a referral, we receive the profile information you made available there and combine it with our own records so we can answer you properly.
We do not collect special categories of personal data, and we do not knowingly collect data from anyone under 18 years of age.
2. How We Use Your Information
- to answer product questions, prepare quotations and proforma invoices, and check machine availability;
- to take, confirm, administer and perform an order, including production coordination and quality records;
- to arrange packing, inland transport, export clearance, ocean or land freight, insurance and delivery documents;
- to provide warranty service, spare parts and technical support, and to trace a serial number to its original configuration;
- to process payment, issue invoices and keep accounting records required by law;
- to send information about new models, promotions or trade news where you have asked for it or where we are permitted to, with an easy way to opt out;
- to keep the Site secure, diagnose faults, improve page content, and prevent abuse or fraudulent payment instructions;
- to comply with export control, sanctions, customs and accounting obligations, and to establish or defend legal claims.
3. Legal Basis
Where the EU/UK General Data Protection Regulation applies to a contact, we process personal data on the following bases:
- Contract — performing a quotation, order or warranty you have asked us to fulfil;
- Legitimate interests — replying to inquiries, supporting our products, keeping records, preventing fraud, and marketing to business contacts that is proportionate and expected;
- Consent — newsletter or promotional messages where consent is required, and non-essential cookies;
- Legal obligation — tax, accounting, customs and export-control record keeping.
4. Cookies
The Site uses a small number of cookies and similar technologies: strictly necessary cookies that keep forms and sessions working, preference cookies that remember display choices, and anonymous analytics cookies that tell us which pages are used. Analytics and marketing cookies are set only where you have accepted them or where applicable law allows. You can delete or block cookies in your browser settings at any time; blocking necessary cookies may prevent the inquiry form from working. Third-party services we embed, such as map or video players, may set their own cookies under their own policies.
5. Who We Share Your Data With
We do not sell your personal data. We disclose it only where needed to serve you or to meet a legal duty, and only the minimum necessary:
- Manufacturers and suppliers whose machines or parts you order, so that your specification is produced and supported correctly;
- Freight forwarders, shipping lines, customs brokers and insurers, for booking, clearance and delivery documents;
- Banks and payment providers, for receiving deposits and settling invoices;
- Service providers who host the Site, provide email, telephone and messaging, backup, and analytics, under confidentiality obligations;
- Our dealers and agents in your country, where local support is part of your purchase;
- Professional advisers — auditors, lawyers, tax advisers;
- Public authorities — customs, tax, export-control or law-enforcement bodies — where we are required to disclose information or to verify a restricted party.
Messaging apps you use to reach us, such as WhatsApp or WeChat, are operated by their own companies. Their service is governed by their own privacy terms, which you should read; do not send payment credentials or sensitive commercial documents through them.
6. International Transfers
We are based in China and our systems, suppliers and logistics partners operate worldwide, so information you give us may be stored and processed in China or in the country where your goods are shipped or serviced. Where personal data protected by the EU/UK GDPR leaves its home region, we rely on transfer safeguards recognised for that purpose, such as adequacy decisions, standard contractual clauses, or your consent, and we ask recipients to protect the data accordingly.
7. How Long We Keep Data
We keep personal data only as long as necessary for the purposes above: inquiries and quotations that do not become orders are generally retained for up to 3 years so we can pick up a conversation you restart; active customer records are kept for the life of the relationship plus the warranty period; invoices, contracts, customs and shipping records are kept for the minimum period required by Chinese accounting, tax and customs law, which is normally at least 10 years; server and security logs are kept for a short period. After those periods records are deleted or anonymised.
8. How We Protect Data
The Site is served over HTTPS, access to business records is limited to staff who need them for the order they handle, credentials are protected, backups are maintained, and suppliers are expected to provide comparable safeguards. No method of transmission or storage is completely secure, so we ask customers to verify any change of bank details by a phone call to a number they already know before paying. We will notify you and any regulator concerned if a personal-data breach affecting you creates a significant risk and we are obliged to do so.
9. Your Rights and Choices
Subject to the law that applies to you, you may ask us to:
- confirm whether we hold your data and provide a copy of it (access and portability);
- correct anything inaccurate or incomplete (rectification);
- delete data we no longer need, where deletion does not conflict with a legal record-keeping duty (erasure);
- restrict or pause processing while a dispute about the data is settled;
- stop processing based on legitimate interests, and stop marketing at any time;
- withdraw a consent you gave, without affecting processing that already happened.
Send your request to the email address below, including enough detail for us to identify your record; we do not charge for reasonable requests and aim to answer within 30 days. If you are in the European Economic Area, the United Kingdom or Switzerland and believe we have mishandled your data, you may also complain to your local data-protection supervisory authority.
10. Third-Party Links
The Site links to manufacturers, logistics services and social or messaging platforms. Those destinations have their own privacy practices, and this policy does not cover what they do with your data.
11. Changes to This Policy
We may revise this page as our products, systems or legal duties change. The version shown here applies from its “last updated” date, and material changes are announced on this page.
